Position Summary
The Medical Product Category Specialist will be responsible for reviewing new products to help determine if they align with our standard contracts and product formularies Once items are determined eligible for purchase then the role will manage and maintain accurate product data within our Oracle ERP system, specifically for medical surgical products. This role will focus on compliance with patient expense codes, including HCPCS, and will play a key role in price management related to purchase agreements. The ideal candidate will have a strong background in hospital supply chain management, buying, or surgical technology.
Job Summary
The Medical Product Category Specialist supports sourcing, contract management, and product data activities for assigned categories of goods and services. This role assists in executing procurement strategies, maintaining accurate product and contract data within enterprise systems, and supporting pricing and compliance requirements. The Medical Product Category Specialist collaborates with internal stakeholders and vendors to ensure contracts, product information, and purchasing data are accurate, compliant, and aligned with organizational goals.
Essential Functions
- Supports sourcing activities, including market research, request for proposal (RFP) processes, and contract development for assigned categories.
- Assists in drafting, reviewing, and maintaining contracts and amendments in accordance with organizational standards.
- Maintains product and contract data within enterprise systems (e.g., ERP), ensuring accuracy, completeness, and alignment with organizational standards.
- Reviews and validates product information, including descriptions, pricing, and applicable coding, to ensure consistency and compliance with internal and external requirements.
- Monitors contract performance, pricing accuracy, and compliance using reports and dashboards, identifying risks or opportunities for improvement.
- Communicates with vendors and internal stakeholders to support contract execution, resolve discrepancies, and address product or pricing issues.
- Analyzes contract, product, and spend data to identify trends, cost savings opportunities, and process improvements.
- Supports supplier performance monitoring and collaborates with category leaders to address performance concerns and improve outcomes.
- Prepares reports related to contract status, product data integrity, and category performance to support decision-making.
- Supports supply chain and procurement initiatives, including product standardization, system enhancements, and process improvements.
- Performs other duties as assigned.

Position-Specific Responsibilities

Product Data Management: This role is responsible for maintaining and updating product information within the Oracle ERP system to ensure compliance with industry standards. This includes creating and managing product records, descriptions, and specific coding such as HCPCS.

Purchase Agreement and Price Management: The specialist manages purchase agreement pricing to align with financial goals and collaborates with the Sourcing team to provide data for negotiating favorable terms and prices.

Supply Chain Optimization: A core duty involves collaborating with supply chain teams to streamline procurement, inventory, and distribution processes while ensuring products align with sourcing initiatives.

Collaboration and Communication: The role acts as a bridge between procurement, finance, and clinical staff to align on product specifications. It also involves direct communication with vendors regarding coding changes and compliance.

Reporting and Analysis: The position requires generating and analyzing reports on data accuracy, usage statistics, and spend analysis to identify trends for management decision-making.

Training and Support: The specialist provides training to staff on best practices for using the Oracle ERP and assists in developing documentation and training materials.
Qualifications
- H.S. Diploma or GED required.
- Bachelor’s Degree in Supply Chain Management, Business Administration, or related field preferred.
- 2-4 years of experience in procurement, sourcing, supply chain, data management, or related field required.
- Experience supporting contract management, vendor coordination, product data management, or data analysis preferred.
- Experience working with ERP systems (i.e., Oracle) or supply chain platforms in a healthcare or regulated industry preferred.
Position-Specific Qualifications
- Minimum of 2-4 years of experience in hospital supply chain management, purchasing, or surgical technology.
- Strong knowledge of medical surgical products and patient expense coding systems, including HCPCS.
- Demonstrated proficiency in Microsoft Excel (specifically data modeling via VLOOKUPs and Pivot Tables) and working knowledge of the Google Productivity Suite.
- Prior experience managing a Charge Description Master (CDM) is preferred.
- Experience in working with data quality, master data management and/or data governance within a global master data environment or familiarity working with Supply Chain processes and data, manufacturing or materials management is preferred.
Knowledge, Skills and Abilities
- Understanding of procurement processes, sourcing practices, and contract lifecycle management.
- Ability to maintain and validate product and contract data with a high degree of accuracy and attention to detail.
- Ability to analyze spend, product, and contract data to identify trends and opportunities.
- Proficiency in Microsoft Excel, including use of formulas, data analysis tools, and reporting functions.
- Strong communication and collaboration skills to work effectively with vendors and internal stakeholders.
