Description

Job Summary:

This position will assess, evaluate, and be responsible for all phases of the operation of the assigned Community Association(s), including but not limited to general administration and property maintenance, liaise with the Board of Directors and respond to needs of each community, direct and organize contracts and resources to ensure that the property is maintained at all times in good physical condition with a stabilized fiscal operation, including writing & managing budgets, quality assurance, controlling expenses, and maintaining positive Board, resident, and employee relations.


Primary Responsibilities:

  • Prepare agenda & reports, schedule, attend, and lead Board Meetings for assigned Associations
  • Ensure proper implementation of Association budgets, policies, and goals
  • Maintain working knowledge of community association Governing Documents, Bylaws, and applicable state law
  • Ensure timely and professional response and maintain open communications with residents, vendors, and Board of Directors
  • Responsible for budget development, management, reporting, and record keeping
  • Manage vendors, service delivery, coordination and timely payment of invoices
  • Monitor accounts receivable, ensure statement delivery, and manage collections procedure
  • Develop and implement annual calendar for all assigned communities
  • Determine and implement services required for each community in coordination with Board
  • Conduct routine site inspections, prepare site condition reports & recommended maintenance
  • Coordinate on-boarding of new Associations/clients, including data entry & communications

Additional Responsibilities:

  • Coordinate repair & replacement projects; develop specifications, write RFP’s, prepare bid comparisons, negotiate contracts, oversee implementation & homeowner communications
  • Interpret responsibility for maintenance & repair and delegate to appropriate party/warranty holder as needed
  • Maintain the files, records, and correspondence for each community
  • Liaise with Association professionals as needed, such as attorneys, auditors, engineers
  • Stay actively engaged in industry association and related membership meetings & events
  • Administer & coordinate insurance policies, claims, and renewals
  • Ensure proper notification to all owners of record for all meetings of the Association
  • Other duties and responsibilities as assigned by Regional Director or VP


Special Requirements:

  • On-call 24/7 for emergencies, available weekday evenings for Board Meetings
  • Driver’s License required for travel to various sites in Philadelphia region
Requirements

Experience & Education Requirements:

  • Bachelor's degree in Business, Real Estate, or related field from a 4-year college or university, or equivalent combination of education and experience required
  • At least two (2) years of customer service experience
  • Community Association, Real Estate, & Property Management is a plus
  • Commitment to obtain CMCA or designation

Physical/Mental Demands:

  • Physical Demands: Sitting and or standing for extended periods of time, lifting 50 pounds and driving long distances.
  • Mental Demand: Reading, writing, multiple concurrent tasks, math, detailed work, reasoning, verbal communication, written communication, customer contact, constant interruptions, negotiating, managing people
